POSITION SUMMARY:
The Receptionist will be responsible for providing coverage both in person reception and answering enquiries by incoming phone calls. In addition to that, the receptionist needs to cover some HR&Admin job, such as employee engagement events, training activities and DL operations recruitment. The Receptionist is a member of the HR&Admin Team and is expected to be an active team participant by communicating effectively, providing support, and cooperation to both clients and staff with enquiries and redirect them to relevant department. This position reports directly to HR Manager.
PRINCIPAL RESPONSIBILITIES AND DUTIES:
?Fill hourly positions (both contractor and regular employees) based on AOP and production needs
?Facilitate and follow up the process of onboarding, probation, contract renewals, termination, dismissals, and new employee orientation training, including managing logistics with appropriate teams (e.g. IT, EHS)
?Personnel records maintenance (HRIS, job history, contract, training records, probation appraisal form, retirement and social security documentation, leave records and details of illness, absences, etc.), liaises with stakeholders as required to ensure paperwork and documentation is complete.
?Attendance records maintenance and data reports generation, include but not limited to monthly OT report, monthly productivity report, turnover report, etc.
?Support HR manager to plan, organize and implement employee engagement activities
?Support HR manager to organize and carry out training activities according to training needs and plans, maintain and manage training records and files
?To issue standard HR and administrative statements and notices
?Performs administrative functions such as preparing employment offer letters and job descriptions upon requirements
?Manage office cleaning service in a systematical way, to ensure a safe and clean working environment in the office area, including offices, conference rooms and public areas
?Be responsible for staff cafeteria management, improve the employees’ satisfaction consistently
?Provide good reception service for WWN site, which includes receiving phone calls, receiving external guests, meeting room setup and 1st floor 5S

EDUCATION, EXPERIENCE AND REQUIRED SKILLS:
?Bachelor’s degree in HR, English, administrative management or related field.
?1-3 years’ experience in the position of receptionist or HR&Admin role.
?Experience with Microsoft Office especially Word, Outlook and Excel required.
?Must be able to multi-task while working in a fast paced environment.
?Excellent interpersonal skills required for interaction with employees, customers, and management team.
?Detail orientated.
?Self-motivated and self-starter.
?Fluent English is a plus.
